STEP 1

Launch CubexSoft Zimbra Export and Launch it accurately on your computer from Start Menu or by double clicking its Shortcut Icon from Desktop. Once, it gets downloaded, the screenshot will be shown as:

As you can see, the software provides dual options for Migrating On-premise Zimbra Server Mailboxes or Zimbra Cloud Hosted Mailboxes

STEP 2

Choose the option Migrate On-premise Zimbra Server Mailboxes

Now, you will see multiple options are present on the software. Click on Add Files button to load TGZ zipped files or extracted TGZ folders.

If you are having TGZ files or folders having TGZ files, then you can select them using Add Files or Add Folders button

If you are having extracted TGZ folders for conversion, then you can use the option Add Extracted Folders

STEP 6

Software will start the scanning and analyse the TGZ file and extracts all its folder items on the left screen.

Once the files are loaded on the software, you can close them using the Close Files button.

If you click on the required folder, all the its file list will appear immediately on the right software pane. Click on the email you want to view and all its data will appear in the Preview section.

Click on Export button and select the desired saving option.

The software provides multiple saving formats to save the backup of Zimbra TGZ mailboxes.

  • File Formats - PST, EML, EMLX, MSG, MBOX, MHT, HTML, XPS, TXT, DOC, DOCX, RTF, PDF
  • Email Clients - Windows Live Mail, Thunderbird
  • Email Servers - Gmail, Exchange Server, Hosted Exchange Sever, Yahoo Mail,
  • Cloud Based services - Office 365, G Suite, Outlook.com, Hotmail, IMAP Server
  • Zimbra Contacts - vCard
  • Zimbra Calendars - ICS

Choose the right format as per your needs as shown below-

Select the saving location if you are exporting Zimbra files File formats. (By default, it is set as Desktop.)

And if you are exporting to cloud based services or any server, you just need to enter the login credentials to connect to the respective options.

STEP 11

The Zimbra Converter software is a complete Zimbra Export tool that also provides advanced filters for conversion process.

  • Date Range Filter - User can select date range to save emails only the selected date range
  • From, To Fields Filters - Users can choose specific to and from addresses to save gmail emails
  • Subject Filters - Users can filter the final saving by saving the emails that contains specfic words and phrases.
  • Exclude Deleted Items - Users can select this option if they don't want to convert Deleted Items folder.

The Zimbra Converter also provides various sub options for individually selected output options.

For PST

  • Categories – Select the required item by clicking on its respective checkbox for conversion into PST format.

For PDF Format

  • Save All Emails in Single PDF – Tick this checkbox if you want to save all your emails in single PDF. Otherwise leave it unselected.
  • File Naming Options – Select any one option to save TGZ files, which is suitable to fulfil your requirement.
  • Attachment Options – In this option, the software provides multiple options to save Attachments in PDF
    1. Embed Attachments to PDF
    2. Extract Attachments separately
    3. Convert Attachments to PDF
  • PDF Page Settings – Use this option to specify page margins, paper orientation, page size and bates number format

Choose the appropriate sub-options from the following options -

For EML, EMLx and MSG and Windows Live Mail

  • File Naming Options – Multiple file naming options are available in this option, so you can choose as per need to save resultant file, then click on OK button.

For MHT, HTML, XPS, TXT, DOC, DOCX and RTF formats

  • File Naming Options – Multiple file naming options are available in this option, so you can choose as per need to save resultant file, then click on OK button.
  • Extract Attachments from Emails in a Separate Folder - Tick this option if you want to extract and save attachments separately from emails, in a folder. Otherwise, leave it unchecked.

STEP 13

For cloud saving options, you just need to provide their login details and the tool will migrate all Zimbra data into provided account directly without data loss.

For Office 365 / Outlook.com

The tool also has the ability to convert Zimbra Contacts and Calendars to standard vCard and ICS formats respectively -

After you are done with all the selection, click on Export to start the process of Zimbra conversion. The process will display every detail about the conversion such as the current file progress, item count, status, size etc.

After completion you will get a Dialog box saying "Process completed successfully". Click on Ok button to finish the process.

As you click on OK button, the software will automatically open log report in Notepad. You can save it in TXT file for keeping complete conversion record.

Choose the option Migrate Zimbra Cloud Hosted Mailboxes

The following screen will appear on your screen

Enter login credentials of the Zimbra Cloud account that you want to save locally or migrate to another cloud account

Besides getting option to enter your single Zimbra user account, the software also provides you with the option to add multiple Zimbra Hosted cloud accounts at once using its Use Batch Mode Option.

Click on Add CSV button to load CSV file containing login credentials of all the Zimbra cloud accounts from which you want to backup your email data.

Now select the CSV file and click on open button

The listed Zimbra accounts list will appear alongwith their respective passwords.

Choose the required Zimbra accounts by checking their respective checkboxes. Or you can select all of them at once using Select All option. Then click on Next button

STEP 6

If you want to backup Zimbra data using Proxy Server, then choose the Use Proxy Server option.

Now enter your Proxy Server details and click on Next button

Once the login is successful, software will start loading all the folders, sub-folders in the Folder List.

The software loads and shows the exact structure of folders, labels of the account with accurate message count, alongwith their respective checkboxes.

The Zimbra Backup software provides selective folder option to backup data from only selected mail folders. You just need to select the folders from which you want to extract data using the provided checkboxes, as shown below -

After loading the folders, the available saving options will appear on the screen.

The software provides multiple saving formats to save Zimbra emails : PST, MSG, EML, EMLx, MBOX, PDF, HTML, MHT, XPS, RTF, DOC, CSV, ZIP, OLM, Windows Live Mail, Lotus Notes, Zimbra, Thunderbird, Gmail, Outlook.com, Yahoo Mail, RediffMail, Extract Email Address, Extract Email Attachments, Office 365, Exchange Server, Hosted Exchange Server, IMAP Server, G Suite, IBM Verse, Amazon Workmail, IceWarp

In case you have chosen PST as saving type, you will get the following sub-options -

If you have applied PDF, MSG, EML, EMLX, HTML, MHT, XPS, RTF options, then tool will show the required options. You can use them as per need and carry out the desired result -

The tool also has the ability to let you Extract Email Addresses and Extract Email Attachments -

With each saving option, the software provides various advance filters to choose from. The listed filters are -

  • Date Range
  • From
  • To
  • Subject
  • Exclude Folders
  • Has the Words
  • Use Selective Export Settings for Mail Folders
    • Only Export Sent Folder
    • Exclude Exporting Email Body Content and Email Attachments
  • Use Selective Export sSettings for Extracting Attachments
    • Save Attachments in Respective Folders
    • Selected Extensions

Choose the appropriate filter option from the following options -

Last, go back to Backup option and then finally click on the Backup button and start the backup process.

The software will start the Zimbra backup process and displays every detail about such as the current folder, messages converted.

After completion you will get a Dialog box showing "Conversion completed successfully".

As you click on OK button, the software will automatically open log report in Notepad. You can save it in TXT file for keeping complete conversion record.
