Follow the Simplest Working Guide of Backup Office 365 Account Data to Various Local formats or Cloud Apps

Before to start the process, we need to discuss that this complete guide shows single mailbox backup as well as multiple mailbox backup. So, you need to choose that which one is choice for your backup. First, we will start the single mailbox backup process and then, we will go to follow the multiple mailbox backup procedure.

Follow the Single Office 365 Mailbox Backup Steps:

Step 1 Download the Software

Firstly, you can Download>>Install>>Launch>> Open Office 365 Backup Tool on your Windows machine. In the first screen, choose Office 365 Backup option and hit on the Next button.

Step 2 Shows Add Source Window

A single click on next button will opens another Window by which either you can click on Add button or (+) sign

Step 3 Enter the O365 Credentials

In this O365 login Window, you can type correct login details of the particular account and Exchange Server name which you want to export. Then, choose single mail box option and click on the Add button.

Step 4 Select Imported Email Account

After adding the email details, this screen shows the account that you have inserted. So, choose that account and click on the Next button to continue the process.

Step 5 Choose Source Mailboxes

From the Select Type Window, you can choose the source mailboxes like what type of folder you want to export such as mailbox, public folder, or archive folder. After selecting it, you can click on the Next button.

Step 6 Shows Folders Structure

The current Window shows the complete folder structure on the left panel of this screen in which you can choose the folders for backup.

Step 7 Option to Choose PST as Output Format

After selecting the folders from the left panel, you can jump to the right side for selecting saving output format. If you choose PST format, then you can take the benefit of date filters, item type filters, PST split option, etc. After selecting PST format, the software shows all the advance options as mentioned in the screenshot given below:

Step 8 Option to Choose PDF as Output Format

If you choose PDF as saving output format, so you can also take the benefit of all advance options like- date filters, item type filters, exclude empty folder option, etc.

After choose these options, you can take the benefit of different file naming options as mentioned in the given screenshot:

After selecting it, click on advance option which opens a new box that includes saving PDF options and save attachment options. So, choose the options as per the requirement.

Step 9 Option to Choose MBOX as Output Format

Also, you can choose MBOX as saving output format and then apply filters if needed.

Step 10 Option to Choose EML / EMLx / MSG as Output Format

Performer can choose EML / EMLx / MSG as saving output format and then, take the benefit of date filters, item type filters, different file naming options, etc.

Step 11 Select Destination Path

After select any of the local format as saving output option, you can add the location path by clicking on the Browse button. Add only that location where you want your complete output files on machine.

Step 12 Option to Choose O365 / Gmail / IMAP / Exchange Server

To export Office 365 data into O365, Gmail, IMAP or Exchange account, you can choose that option and apply any filters if required and then click on Next.

On another screen, you need to add your output account by putting the login credentials. So, click Add button, fill login details and click Add. It insert your account as like screen given below:

Then, click next that opens another screen in which you need to choose the Destination Source Mailboxes. It means you have 3 options i.e. mailboxes, public folder or archive folder in which you need to add your data. So, decide the folder and click Next.

Step 13 Begins Office 365 Backup Process

A single click on the next button start the live Office 365 backup process that you can see from the screenshot.

Step 14 Complete the Process

Finally, single mailbox backup process is finish with the complete live status. After completing the process, the software enables save report option. Use this option for saving complete backup report.

Follow Multiple Office 365 User Mailboxes Backup Steps:

Step 1 Choose Office 365 Backup Option

Download and Open Office 365 Backup Tool on your Windows machine. Choose the O365 Backup option and click Next.

Step 2 Click on Add Button or (+) Sign

From the new Window, you can click on Add button or (+) sign which opens Exchange/Office 365 login Window.

Step 3 Type Credentials & Get List of Mailboxes

Fill the correct login details and choose the option of "List All Mailboxes Using Above Credentials". Then, click on Get User Mailboxes button which lisited all the mailboxes and hit Add button at last.

Step 4 Choose Mailboxes & Click Next

In this current Window, you can view all the mailboxes in a proper line. So, choose the mailboxes and click Next button.

Step 5 Choose Source Type of Each Mailbox

Choose the proper source type (Mailboxes / Public Folder / Archive Folder for every mailbox which is listed. And, click Next button

Step 6 Choose Folders for Backup

It opens another screen from which you can choose the folders for backup process. The left section shows the complete folder structure in a systematic manner.

Step 7 Choose PST as Saving Output Format

Now, choose the PST format from the list of select saving options and then, apply filters and advance options if needed as given in the screenshot:

Step 8 Choose PDF as Saving Output Format

Choose PDF Document format from the list of saving output format and take the benefits of various options as like- date filters, item type filter, etc.

After selecting the options, you can choose any of the one file naming convention from the long list as mentioned in the screenshot:

Then, hit on the advance option which opens a fresh box includes 2 saving PDF options and 4 save attachment options. So, choose the options as per the requirement.

Step 9 Choose MBOX as Saving Output Format

Search & choose MBOX file format from the list of output format and then apply filters if needed.

Step 10 Choose EML / EMLx / MSG as Saving Output Format

Interested users can also select EML / EMLx / MSG as saving output format and after selecting the option you can proceed to apply filters and other advance options as shown below:

Step 11 Add Location Path

If you have selected any local file format like- PST, PDF, MSG, MBOX, EML, or EMLx as saving output format. So, after selecting all needy options you need to add the location path by using browse button for saving complete output data.

Step 12 Choose O365 / Gmail / IMAP / Exchange Server as Saving Output option

To export multiple mailboxes from Office 365 data into O365, Gmail, IMAP or Exchange account, you can select that option from list of saving output options and apply filters if required and then click on Next.

A new window display, add your output account by adding the login credentials. Then, click Add button, fill login details and hit Add. It insert your account as shown below:

Then, hit next that opens new window from which you need to choose the Destination Source Mailboxes for every O365 Mailbox. It means you have 3 options i.e. mailboxes, public folder or archive folder in which you need to add your data.

Step 13 Start Office 365 Backup Procedure

Finally, quickly click on the Next button which starts the Office 365 backup procedure on the software screen as shown below:

Step 14 Finish the Procedure

A multiple Office 365 mailboxes backup process is completed successfully. After completing the process, the program shows save report option which helps users for saving complete backup report.
